It is a common practice across many branches of business that a formal signature is required. Signatures are often needed for legal reasons, such as to validate a deal or confirm a plan. Of course, the idea of having to send someone a piece of paper for them to sign and then send it back to you is ridiculous these days. Thankfully, electronic signatures are perfectly valid, and Odoo has an app dedicated to handling them: the Sign app.

E-Signatures That Meet the Standard

The Sign app is Odoo's solution for enabling your business to rapidly request and obtain signatures. The Sign app ensures that all electronic signatures (e-signatures) it generates meet the requirements for e-signatures in the United States, the European Union, and many other countries. It supports preparing single or multiple documents and sending them off to be signed, as well as receiving documents and having your Odoo users digitally sign them.

Preparing Documents: Drag, Drop, Send

Preparing one or more documents for digital signing is a simple task with the Sign app. Fields can be freely added to uploaded documents via simple drag-and-drop functionality. The available field types include:

  • Initial - where the actual signature goes
  • Radio - for when the signer has to select one of several options
  • Selection - for when the signer can select multiple options
  • Strikethrough - for when the signer can reject certain sections of the document

When multiple documents need to be signed, they can be grouped in a document envelope and easily sent or signed together with a single action. And of course, you can set who needs to actually sign the documents.

Signing Documents from Others

When signing documents prepared in someone else's Odoo Sign app, your Sign app can be configured to auto-fill the fields. However, not everyone is using the Sign app to prepare their documents, and that is perfectly fine. You can add fields to documents you need to sign in the same way you would for documents you are sending out for signatures.

Security: Built In, Not Bolted On

Security is paramount for a tool like this, and the Sign app does not lack in that regard. The primary security most users will see is email verification, as documents to be signed are only accessible via a unique link sent to the signer's email. Once a document is signed, a unique hash (or, appropriately enough, a digital signature) is generated to link the signer to the document. In addition to the signatory hash, a certificate of completion is created with details of the signing process included.
